California Public Records Act (CPRA)
At Saratoga Union School District (SUSD), we are dedicated to providing exceptional service to our families and prioritizing the safety and well-being of our community.
In line with our commitment to transparency, SUSD complies with the California Public Records Act (CPRA). Under the CPRA, members of the public have the right to inspect and request copies of existing public records, provided they are not exempt by law.
Public Record Exemptions
While most district records are accessible to the public, state law protects certain documents from disclosure to maintain confidentiality and operational efficiency. Exemptions include:

Personal Privacy: Documents that protect individual privacy, such as confidential student, personnel or medical records.

Operational Confidentiality: Records required to maintain effective district operations, including ongoing legal matters, open investigations, official communications and preliminary drafts or notes.

Public Interest: Requests where the public interest in withholding the information clearly outweighs the public interest in disclosing it.
Guidelines
Please note the following CPRA guidelines:
- Within 10 calendar days of when the request is received, SUSD will notify the requester whether it holds disclosable records and state the legal basis for any withholdings (Cal. Gov. Code § 7922.535). The response will include the record requested or the estimated date the record will be provided.
- Please include as much information about the record as possible.
- SUSD is not required to create a record or list.
- For faster response, please provide an email address.
- If requesting hard copies, SUSD will charge requester $0.10 per copy for printing.

Submitting a Request
To submit a Public Records Act request to SUSD, please choose one of the options below. While we accept requests through multiple channels, we strongly encourage submitting an email for the fastest processing.

To help us process your request accurately, please consider including:

Contact Information: Please provide contact information (such as first and last name, organization/agency name, mailing address, phone number and email address) so we can send responsive records or contact you if clarification is needed.

Request Description: A specific description of the records you are seeking (such as document titles, dates, relevant departments or topics).

Date Range of Records: The more specific and narrow a scope your request is, the faster we can process it.

Type of Records, such as contracts/agreements, emails, financial/purchasing records, personnel/staffing records, policies/administrative regulations, student records

Delivery Preference: How you would like to receive the documents (email, mail or in-person pickup from the SUSD District Office). Members of the public also have the right to inspect public records at the District Office free of charge during regular business hours.
Requests must be focused and reasonably describe identifiable records.
