Addressing a Concern or a Complaint

Saratoga Union School District strives to create and maintain open, inclusive, two-way communication with families and community members. To facilitate this goal and to ensure we can address your needs quickly and efficiently, we have outlined these steps for addressing questions or concerns regarding SUSD matters. 

We encourage families to reach out to the person closest to the question/concern, such as the teacher, principal, etc., as they are best positioned to work with you to address and resolve any issues. 

STEP 1: Contact Your Teacher or Staff Member

We believe most questions and concerns can be resolved quickly and easily at the school level. Keep in mind that teachers and staff serve many students so please allow staff 24-48 hours to respond, Monday through Friday, during school business hours. 

STEP 2: Contact Your School Office or Principal
If your question or concern remains unresolved, or for general questions, contact your school office or principal. They can often resolve your issue or put you in touch with the department to help address the issue (see Step 3).

STEP 3: Contact the District Office
If you feel your concern is unresolved after discussing it with the school site staff, please contact the District Office. Your concern or complaint will be routed to the appropriate Program Director or District Administrator designated by the Superintendent to work with families and schools to resolve concerns, discuss policies and procedures, as well as ensure that families and schools are successfully partnering for student success.

STEP 4: Formal Complaint Process
Concerned parties are encouraged to complete steps 1-3 above. To resolve complaints that may require a more formal process, the Board has adopted these formal complaint processes viewable on SUSD’s board policy portal (GAMUT) (Education Code §4600-4670):

  • Procedural Safeguards and Complaints for Special Education
  • Title IX Sexual Harassment Complaint Procedures
  • Uniform Complaint Procedures
  • Williams Uniform Complaint Procedures

To file a formal complaint, we encourage you to contact the District Office (listed above) so that we may give you the formal complaint packet and explain the process. Return the form to the District Office, 20460 Forrest Hills Drive, Saratoga CA 95070, attention: Executive Assistant to the Superintendent and Board of Trustees. To receive a response to your complaint, please include your contact information.

We always encourage open and transparent dialogue to resolve complaints, however some complaints may be filed anonymously per SUSD Board Policy. These may include:

  • A Williams Complaint regarding instructional materials, emergency or urgent facilities conditions that pose a threat to the health and safety of pupils or staff, and teacher vacancy or misassignments and may be filed anonymously.
  • Complaints of student intimidation, bullying, or harassment may be filed anonymously (or use the SpeakUp Anonymous Tipline).
  • Complaints against employees may be filed anonymously and may be investigated depending on the specificity and reliability of the information.
  • Complaints regarding student fees may be filed anonymously (Ed. Code, § 49013).
  • Complaints alleging noncompliance with the LCAP may be filed anonymously (Ed. Code, § 52075.).
  • Complaints regarding Nutrition Compliance may be filed anonymously.
  • Complaints regarding specified health or safety issues in a license-exempt CSPP program may be filed anonymously.

To receive a response to an anonymous complaint, please include some type of contact information such as such as an anonymous email address, post office box number, street address, or date/time of pickup from the District Office. 

A complaint filed on behalf of an individual student may only be filed by that student or that student's duly authorized representative. 

If the complainant is unable to put the complaint in writing, due to conditions such as a disability or illiteracy, the district shall assist the complainant in the filing of the complaint.
