CLICK HERE to download a printable version of this information Why Backup? To recover data or files. Files can get corrupted, accidently deleted, hacked or hard drive could fail. Where to backup? Each user (e.g. John Smith) will have a login (e.g. jsmith) and password (e.g. john) to access the data storage space via network on the server to store their files for backup purposes. What to backup? Backup ONLY important data files to the server. (Media files such as photos, audio and video files must not be backed up to the server. These files can be saved on CD/DVD/USB drives.) How to backup? The user data is usually located in one major folder eg. "My Documents", with sub folders. Know where you have been saving files. Then follow steps 1-2-3. 1. Open My Computer – Bring up files/folders to be backed up. – This is your source. Files/folders which are shortcuts will not get backed up. A shortcut is simply a pointer to an actual file/folder.Source looks like this:  2. Open Backup Icon – Login to your server account – Create new folder with MMDDYYYY (e.g. 04242009) – Double click on it – This is your destination. If you have more than three backup copies, please delete the oldest one. 

Destination looks like: 3. Drag and drop (or copy & paste) the files/folders from source to destination. When the above step is done successfully, the file sizes of source and destination must match. To look for file size right click on file/folder and then select ‘Properties’. Shortcuts have file size 0. When to backup?
Regular backups should be at a minimum, performed once a month. Depending on how critical your data, weekly/daily backup of all/certain files can be performed. How to recover from backup? Open Backup Icon – Login to your server account – Find the most recent backup folder – Double click on it – This is your source. Open My Computer – Open the directory where you want the files to be copied. This is your destination. Drag and drop (or copy & paste) the files/folders from source to destination.
